What is Moodle Workplace?

Moodle Workplace is a powerful, flexible, and customizable Learning Management System (LMS) that allows organizations to share knowledge across various audiences and deliver effective corporate training and professional development. Moodle Workplace Features & Benefits

Moodle Workplace has a user-friendly interface that provides users with a custom dashboard and streamlined processes around course creation and administration. With Moodle Workplace, trainers and course developers can have a course up and running with minimal mouse clicks, and LMS administrators can add new tenants, manage users, assign learning, and schedule reports in minutes.

Customizable look & feel

For the Workplace project, Moodle’s developers re-imagined the user interface providing a unique Workplace theme and course format that make the platform intuitive for all users. Upon login, users are presented with a set of dashboard tabs depending on their role and what learning they have been assigned. Additional blocks and configurations mean you can place the most important information front and center for all users.

Robust learning tools

Moodle Workplace supports and tracks learning of all types. Content can be created directly in the platform using book, lesson, glossary, pages, or other content types, or brought into the platform to integrate SCORM, AICC, audio, video, pdfs, presentations, and other file types into courses.

Robust quiz and assignment modules provide flexibility in assessing learning. Discussion forums provide spaces for learners to construct learning together and build communities of practice. An Appointment module created specifically for Moodle Workplace provides a booking system for sign-ups and attendance for synchronous sessions.

In addition to these robust native tools and functionality, plugins and LTIs allow for expansion of the system to include additional capabilities. Activity completion and access restrictions provide the means to help guide learners through the course content to reveal the right thing at the right time.

Multitenancy

Moodle Workplace’s native multi-tenancy makes it possible to serve multiple entities from a single installation. Whether you are a reseller, a multinational company, or a franchised organization, you can easily manage entities separately with great flexibility and at a lower cost than competing solutions. Each tenant can have custom branding, including a unique login screen, incorporation of their unique logo, and the use of brand colors. Through unique roles in Workplace, tasks can be delegated at a granular level within each tenant, allowing different users to create and manage accounts, programs, certifications, dynamic rules, organization structure, report building, and course creation. Courses can be shared across all tenants or kept private to a tenant, giving organizations flexibility to provide centralized and dispersed course management simultaneously.

With multitenancy, companies can support a variety of use cases for external and internal learning, including:

  • Extended enterprise – for example, training for customers, partners, volunteers, or other external audiences. A company that sells training to other companies can provide a private tenant co-branded for the organizations and delegate user creation and management, grant access to reporting, and even provide organizations the opportunity to create their own courses and content.
  • A mix of internal and external training – for example, a nonprofit that is looking to train both staff and volunteers may have a set of courses that should be shared by both audiences while also providing proprietary content and compliance training for staff within only the internal tenant.
  • Distributed learning across multiple locations – for example, retail or hospitality chains can have a unique tenant for each of their locations or franchises. The franchisor can provide consistent training and messaging while also allowing franchisees the opportunity to work independently in the LMS to build franchise specific training, manage their own employees, and generate their own process for developing their employees.
  • Organizations looking to design custom platforms for each of their clients – for example, education companies providing courses to multiple school districts can provide unique versions of courses, programs and certifications, or provide private access to centralized shared courses.
  • Highly customized training for different company departments – for example, allowing each department to customize their tenant with specific courses, while sharing company-wide HR and compliance courses across all tenants.
  • Different schools within a university – for example, large universities can have individual tenants for their law school, medical school, etc.

Compliance

Programs enable you to stay up-to-date with compliance and design unique learning paths for your teams so that they can develop necessary competencies. Certifications allow you to specify and track requirements for recurring programs. Users can be certified for a given period of time, after which the certification can be retaken or updated. Dynamic rules allow for the automation of validating learning and compliance by issuing certificates or endorsed electronic badges.

Standard and custom reports created using the Moodle Workplace Report Builder provide insight into completions, upcoming certifications, and those that are approaching time for re-certification. Additionally, since Moodle Workplace has a customizable organization structure, managers can view custom reports on team members and receive notifications about completions and overdue certifications.

Certificates & Badges 

Customized certificates can be issued upon completion of programs and certifications. Site-wide certificate templates can be created in Moodle Workplace, and certificates can be shared among tenants. Certificates can feature any number of elements including static text, graphics, digital signatures, and dynamic elements such as dates, user information, and program and certification details. Since certificates can be multi-page, many clients use this as an opportunity to present a styled certificate as well as an informational cover sheet.

In addition to traditional certificates, Moodle Workplace supports standard compliant badging within the platform that users can link directly to their public badge backpacks, such as their Badger account. In addition to a custom badge image, badges can include version, description, author, issuer and expiration details. Badges can be issued based on a wide range of criteria and can be aligned with skills or standards that are then displayed with the badge. Badges can also include endorsement and claim information if the badge is endorsed by a third party.

Seamless integrations and automated workflows

In addition to the ability to upload users to different tenants, assign jobs, and allocate to programs and certifications, an extensive set of APIs allow your organization to create web services connections between your internal systems and the Moodle Workplace installation.

With Dynamic Rules, you can avoid many tedious tasks and easily create and manage automated rules for several groups of users. You can create learning experiences based on location, department, position, roles, and other criteria. Dynamic Rules allow for the automation of tasks such as sending a notification to the user when they're assigned learning, issuing a certificate or a badge upon completion, designating learners to another program/certification, or sending a reminder when learning is overdue.

Report Builder

With Moodle Workplace’s Report Builder, you can easily build and customize your own reports and track learners’ progress and performance with minimal effort. This tracking will enable you to have a better understanding of learning behaviors and empower you to improve the learner experience as needed. Within the Moodle Workplace Report Builder, reports can be viewed with filters and other criteria applied. They can also be scheduled to be sent to users within the system and email addresses outside of the platform.

Mobile

Moodle Workplace also allows for remote learning and easy access to courses and eLearning content anywhere, anytime, and even when offline through the Moodle Workplace Mobile app.

Available for both Apple iOS and Android-based devices, Moodle Workplace Mobile allows learners to access course content; upload images, videos, and other files; receive notifications; send messages to trainers or other course participants; attempt quizzes; participate in forums and much more - all from their mobile devices. Organizations also have the option to create a branded version of the Workplace Mobile App. This paid option provides additional features within the app and allows companies to leverage brand identity to create a trusted and coherent learning experience for users who can easily search and find the company app in app stores.
